This is the TapToSay guide book. It walks you through the whole platform, one role at a time, using the real buttons and screens you'll see in the app.
What this book is
TapToSay is an AAC (augmentative and alternative communication) tablet system for schools. Students tap coloured buttons to speak words, and the adults around them manage the districts, schools, tablets, and vocabularies behind the scenes. This book is the manual for those adults.
Everything here is written from how the app actually works — the exact tab names, button labels, and the order you click things. If a button is named Send invitation in the app, it's called Send invitation here.
Who it's for
There's a chapter for each level of access, from the top down:
- Server Admin (Root) — runs the whole platform: districts, schools, and every user.
- District Admin — runs one district: its schools, teachers, parents, students, and classrooms.
- Teacher — manages her own students and classrooms, and invites parents.
- Parent — personalises their own child's vocabulary, and little else.
- Vocabulary — how the word boards are built and edited, for everyone who can touch them.
Read your own chapter. If you're setting the platform up from scratch, read the Server Admin chapter first, then District Admin.
How to use it
- The sidebar is the book's contents. Each role is a chapter. Tap a chapter to open it, and tap the small arrow to expand it.
- Inside a chapter, each page is a section. Expand a chapter and you'll see its pages listed underneath — things like Sign in or Create a teacher.
- Some pages have smaller sections. Where a page covers a few distinct things, those show as a third level in the tree.
- Click any item to jump straight to it. You don't have to read a whole chapter to find one paragraph — the links go right to the spot.
- Use the search box at the top to filter the contents by name.
- Use your browser's back and forward buttons freely; every spot in the book has its own address.

1. Server Admin (Root)
The server admin runs the whole platform — every district, school, and user. It's the account that was set up when the server was installed.
Sign in
- Open the admin portal in your browser (for example
https://api.taptosay.app). You land on the Sign in screen. - Type your Username and Password.
- Click Sign in.
- You land on the Dashboard. The tabs across the top are the ones you can use. As root you get Students, Teachers, Classrooms, Users, and Schools.
Create a district (ISD)
Districts come first. A school, teacher, or district admin all belong to one. TapToSay uses the official Texas (TEA) ISD codes, so you pick the district from a list instead of typing it.
- Click Schools.
- Find the Add a district (ISD) card.
- Open the dropdown “ISD (by 6-digit code, from TEA data)” and pick the ISD. Want to preview its campuses first? The Look up campuses by ISD code card above it does that — type the 6-digit code, like
237904, and click Look up. - Click Add district. It shows up in the Current districts (ISDs) table with its code.
Create a school (campus)
- On Schools, find the Add a school (campus) card.
- Pick the District (ISD) the campus belongs to.
- Under Campus (9-digit TEA code) in this ISD, pick the campus. The list loads from that district's TEA data.
- Click Add school. It lands in the All schools table.
Create a district admin
District admins get an email invite and finish their own account.
- Click Users.
- In the Invite a user card, click Show to open the form.
- Fill in Email and Full name.
- Set Role to District admin.
- A District (for district admins and teachers) dropdown appears. Pick the district this person will run.
- Click Send invitation. It shows under Pending invitations.
- They get an email with a registration link. If the email is slow, use the Copy link button next to the invite and send it yourself.
Create a teacher
- On Users, open Invite a user (Show).
- Fill in Email and Full name.
- Set Role to Teacher.
- Pick the District. A teacher's code is unique per district, so it's required here.
- Optional: type a Teacher ID (numbers only) — the number she'll use on her tablet. Leave it blank to set it later.
- Click Send invitation.
Create a parent
- On Users, open Invite a user (Show).
- Fill in Email and Full name.
- Set Role to Parent.
- Under Attach to tablet, pick the student's tablet. That links the parent to the student.
- Click Send invitation.
Create a student (student tablet)
- Click Students, then + Add student.
- Pick the School.
- Type a Student name (optional — it shows in dropdowns instead of the raw ID).
- Type the Student ID (what you'll provision the tablet with).
- Leave the Auth password as-is, or click ⟳ for a new one. This is the tablet's own sign-in code.
- Leave Server URL as
https://api.taptosay.appunless you're told otherwise. - Leave Personal / BYOD device unchecked for a school device.
- Click Create tablet.
- Open the student, click Show on the Provisioning QR card, and scan that code with the tablet.
Managing users (any role)
The Users tab has four cards: Active users, Inactive accounts, Pending invitations, and Invite a user.
- Edit someone's name, email, role, or district with Edit on their row.
- Delete removes the account plus their guardianships, tablet assignments, and pending invites.
- Inactive accounts lists accounts 30+ days old with no tablet linked. Delete them here with Delete (30d+).
- Pending invitations shows invites nobody has accepted yet. Copy link lets you share one again.
My account
Open the ☰ menu (top right), then My account. You can change your Name and your password. Username and Email are locked.
2. District Admin
A district admin runs everything inside their own district — schools, teachers, parents, students, and classrooms.
Sign in
- Open the invite email and click the registration link. It opens Create account with your Invitation token already filled in.
- Pick a Username and a Password (min 8 chars).
- Click Create account. You're signed in at the Dashboard.
- Next time, just use Sign in with your username and password.
Your tabs are Students, Teachers, Classrooms, Users, and Schools.
Add a school (campus)
Your district is fixed, so you only add campuses in your ISD.
- Click Schools.
- In Add a school (campus), the district is already set to yours.
- Under Campus (9-digit TEA code) in this ISD, pick the campus.
- Click Add school.
To remove one, click Delete in the All schools table. Schools with tablets on them won't delete.
Add a student (student tablet)
- Click Students, then + Add student.
- Pick the School (only your district's schools show).
- Optional: type a Student name.
- Type the Student ID.
- Keep the generated Auth password, or click ⟳ for a new one.
- Leave Server URL as
https://api.taptosay.app. - Leave Personal / BYOD device unchecked for a school device. Check it for a family's own device — its Exit PIN stays
2580. - Click Create tablet.
- Open the student and use Provisioning QR → Show to set up the tablet.
Invite a teacher
- Click Users, then Invite a user (Show).
- Fill in Email and Full name.
- Set Role to Teacher.
- Optional: type a numbers-only Teacher ID.
- Click Send invitation. The teacher lands in your district automatically.
Invite a parent and link them to a student
- On Users, open Invite a user.
- Fill in Email and Full name.
- Set Role to Parent.
- Under Attach to tablet, pick the student's tablet.
- Click Send invitation.
Already have the parent's account? Link them from the student's page instead: open the student, then Teachers & parents (access) → Parents (guardians), pick the parent, and click Assign parent.
Create a classroom
- Click Classrooms, then + New classroom.
- Pick the School.
- Optional: Assign to teacher so it shows on that teacher's tablet right away.
- Optional: give it a Classroom name, like “Mrs. Smith — Room 12”.
- Leave Server URL as
https://api.taptosay.app. - Click Create classroom. It gets a class code like
C12345. - Add students under the Students card: pick one from the dropdown, then click Add student by name.
- Optional: assign teachers under Teachers with Assign teacher.
Manage a student
Open any student from Students. There you can:
- Details — change school, name, student ID, auth password (⟳ to regenerate), and server URL; click Save details.
- Teachers & parents (access) — add or remove the teachers and parents linked to the student.
- Provisioning QR — click Show for the tablet setup code.
- Passcodes — edit Settings PIN and Exit PIN, tick This is a personal / BYOD device; click Save passcodes.
- Vocabulary — edit the student's word board (see the Vocabulary chapter).
- Danger zone — Delete this tablet.
My account

3. Teacher
A teacher manages the students and classrooms on her own tablets, and can invite parents. Passcodes are read-only for her.
Sign in
- Open the invite email and click the registration link.
- On Create account, the Invitation token is already filled in. Pick a Username and Password (min 8 chars).
- Click Create account.
Your tabs are Students, Teachers, and Classrooms.
View your students
- Click Students. You'll see Name, ID, School, Settings PIN, Exit PIN, and Last sync.
- Click a student to open their page. You can look at their details, their vocabulary, and who's linked to them — but you can't change passcodes.
Create a student
You know your students and their IDs, so you add them yourself. A student you create is automatically yours — it shows up in your Students list and can be dropped straight into one of your classrooms.
- Click Students, then + Add student.
- Pick the School.
- Optional: type the Student name (it shows in dropdowns instead of the ID).
- Type the Student ID — this is the number on the student's tablet.
- The Auth password is filled in for you. Keep it or click ⟳ for a new one.
- Leave Server URL as
https://api.taptosay.app. - Click Create tablet. The student appears in your list right away.

A classroom loads every student in the room onto one tablet. The teacher switches students from a dropdown on the board.
- Click Classrooms, then + New classroom.
- Pick the School.
- Optional: give it a Classroom name (shows in the list and on the board).
- Leave Server URL as
https://api.taptosay.app. - Click Create classroom. It gets a code like
C12345and opens the classroom page.
Link students to a classroom
- On the classroom page, find the Students card.
- Pick a student from the dropdown (they show by name; the ID is stored behind the scenes) and click Add student by name.
- Repeat for each student. The count next to Students updates as you go.
- To unlink someone, click Remove on their row — that takes them out of the classroom, not off the tablet.
Invite a parent
- Click Users, then Invite a user (Show).
- Fill in Email and Full name.
- Set Role to Parent.
- Under Attach to tablet, pick one of your students' tablets.
- Click Send invitation. The parent gets linked to that student when they register.
Edit a student's vocabulary
- Click Students and open the student.
- Scroll to the Vocabulary card.
- Rename a word, change a face, or add/remove items. Full walkthrough is in the Vocabulary chapter.
- Click Save vocabulary (top or bottom of the card) to push it to the tablet.

4. Parent
A parent has a small, focused view: they can personalise their own child's vocabulary, and that's it.
Sign in
- Open the invite email from your child's school and click the registration link.
- On Create account, the Invitation token is already filled in. Pick a Username and Password (min 8 chars).
- Click Create account. You're linked to your child automatically.
- Next time, sign in with your username and password.
Your tabs are Students and Teachers. You won't see Users, Schools, or Classrooms.
What you can do
- See your child's page. Click Students, then your child. You can view their details and vocabulary.
- Edit your child's vocabulary. On the Vocabulary card, change words and faces, then click Save vocabulary. Your edits are yours — they never touch another student.
- Invite a co-guardian. On Users, invite another Parent. Under Share scope, choose All my tablets or One tablet, then send it. They get the same access you have.

5. Vocabulary
Vocabulary is the buttons a student sees on their tablet: coloured categories, words inside them, and a face on every button.
How a vocabulary is built
- Categories are the top-level buttons — Food, People, Feelings.
- Sayings are the words inside a category — inside Food: apple, milk, cracker.
- A saying can hold sub-items, so a button can open up to more choices.
- Every button has a face: an Emoji, an AAC Symbol picture, or a custom Photo.
- Every button has a colour too. New items get one automatically so the board stays colourful.
Open the vocabulary editor
- Click Students and open a student.
- Scroll to the Vocabulary card. The board shows as an indented tree.
- Make your edits (below), then click Save vocabulary — there's a button at the top of the card and another at the bottom.
Each row has a face button on the left, a text box with the label, a + (Add child), and a − (Remove). Under the last item in a list there's a + Add sibling row.
Rename a word
- Click the text box and type the new label.
- Click Save vocabulary.
Change a button's face (Emoji / Symbol / Photo)
Click the face button on the row — the one showing the current emoji, symbol, or photo. The Choose face window opens with three tabs. Pick the kind of face you want:
Emoji
Click any emoji in the grid.
Symbols
Type in Search symbols…, or click a category chip (All, animals, food) to browse the AAC picture set. Click a picture to pick it.
Photo
Click + Select a photo, or drag a picture onto it. You'll crop it to a square next (see Cropping a photo).
Your pick previews at the bottom of the window. Click Apply to use it, or Clear face to wipe it. Then click Save vocabulary to send the change to the tablet.
Cropping a photo
- After you pick a photo, a square crop box shows up. Drag to move the picture, and scroll or pinch (or use the Zoom slider) to zoom.
- When it looks right, click Use this photo. (Reset starts over.) The cropped square becomes the button's face.
Add or remove buttons
- Add a word inside a category: click + on the category row, then rename the new word and give it a face.
- Add a whole new category: click + on a category, then use the + Add sibling row under the last category (it starts as “New category”).
- Add a sub-item (drill-down): click + on a word row.
- Remove a button: click − on its row.
Modify an existing vocabulary
- Open the student's Vocabulary card.
- Rename, add, remove, or change faces as above.
- Click Save vocabulary.
- The tablet picks up the new board on its next sync.
